Pre-registration

When does pre-registration open? When is the deadline?

Pre-registration for both Research Fellowships and Overseas Research Fellowships will open at 9 a.m., April 1, 2020 (Japan time). Once you have completed pre-registration, you will proceed to registration. The deadline for registration is 4 p.m. on May 29, 2020. Please allow sufficient time after completing pre-registration to prepare your application for registration.

Have you made any changes in the registration system?

Up loading of Application Form-Cover PDF is not required to prepare documents for registration

Can I save the pre-registration form to my computer?

  1. The form cannot be saved. Bearing that in mind, please check that you have all the necessary details before filling in the pre-registration form, so that you can fill in the whole form at once.
  2. Check that the details you have entered are correct, then click the "Send" button to submit your form.

Can I still make changes after submitting my pre-registration form?

Changes can only be made by the applicant in person except registered e-mail address. Please see Q&A 7 in the Q&A section on "Pre-registration. It is required to contact Secretariat (see No.19 of Research Fellowship Application Guideline) to change e-mail address you had registered in Pre-registration.

I haven't received an email confirming my registered email address.

  1. An email confirming your registered email address will be sent to the email address entered on your pre-registration form. Please confirm your registered email address.
  2. If you are unable to confirm your email address,please contact the Secretariat by
    email (byoutai-toiawase@jp.astellas.com).

I haven't received notification of completion of pre-registration.

  1. Notification of completion of pre-registration will be sent to the email address registered on your pre-registration form, the same as the email confirming your registered email address. Please confirm your registered email address.
  2. If you are unable to confirm your email address,please contact the Secretariat by
    email (byoutai-toiawase@jp.astellas.com), making sure that you include your Application Number in all correspondence. Your Application Number is included in your Applicant Page login details.

I have completed pre-registration (but have not yet proceeded to registration). Can I still make changes to pre-registered details (research theme, keywords, contact details after leaving Japan, etc.)

The procedure for making changes is as follows.
  1. Log in to your Applicant Page.
  2. Click on the "Revise" button to change the contents of your pre-registration form (displayed on screen).
  3. Change any details other than your contact email address.
    (*) It is not permitted to change your contact email address.
  4. After making the necessary changes, click the "Review" button to see if changes are correctly made.
    When everything is fine, click "Execute" button to finalize the changes.
  5. (*1) If you change your area of research, you will be issued with a new Application Number.
    (*2) You can continue to log in to your Applicant Page using the same login ID and password after making changes.

Can I change the email address I registered during pre-registration?

  1. Contact the Secretariat by
    email (byoutai-toiawase@jp.astellas.com) and explain that you wish to change your email address, making sure that you include your Application Number in all correspondence.
  2. The Secretariat will handle the necessary procedure and notify you by email.
    (*) The Secretariat will delete details entered during pre-registration.
  3. Once you have received an email from the Secretariat, you may then carry out pre-registration again.
    (*) You will be given a new Application Number, ID and password.

I have completed pre-registration, but would like to withdraw my application.

  1. Contact the Secretariat by
    email(byoutai-toiawase@jp.astellas.com) and explain that you wish to withdraw your application, making sure that you include your Application Number in all correspondence.
  2. The Secretariat will handle the necessary procedure and notify you by email when your application has been withdrawn.

How do I access my Applicant Page?

  1. Please click on the link to your Applicant Page (URL) contained in your notification of completion of pre-registration.
  2. To access your Applicant Page, enter the ID and password provided in your Applicant Page login details.

I have forgotten the URL to access my Applicant Page.

The URL is contained in your notification of completion of pre-registration. Please click on the link in the relevant email.

I have forgotten my ID or password to access my Applicant Page.

  1. Click on "Forgotten ID or password?", under the "Login" button on the Applicant Page login screen. Enter the email address you provided during pre-registration and click the "Send" button.
  2. You will be sent a link to confirm your applicant login details.
  3. Click on the link to confirm your ID and password.

I am having difficulty downloading Main Section (PDF) of the application form.

  1. Please wait a while and try downloading the application form again. If you continue to experience difficulties,
    please contact the Secretariat

  2. Your Application Number is included in your Applicant Page login details.

I haven't started registration yet. I want to make changes in the form of pre-registration form.

  1. If you haven't started registration yet, please click on the "Revise" button to change the contents of your pre-registration form (displayed on screen) on your Applicant Page. You can then change any details other than your contact email address.
  2. For details of how to make changes, please see Q&A 7 in the Q&A section on "Pre-registration".

Cover page seems to be blank.

  1. Please use either Internet Explorer, Google Chrome, Firefox, or Safari for internet browser to see Cover page. If you are using other browsers, the content may not be displayed properly.
  2. If the file appears to be blank, please contact the Secretariat by
    email(byoutai-toiawase@jp.astellas.com), making sure that you include your Application Number in all correspondence.

My application documents (PDF) exceed 3MB in total. What should I do?

  1. The registration system will not accept applications that are larger than 3MB in total.
  2. Please think of a way to reduce the size of your documents so that they are no larger than 3MB in total. Options include reducing the resolution of any charts in PDF format (one sheet of A4 paper only), reducing the number of charts, simplifying charts, or reducing the number of pages or resolution of PDF documents relating to overseas study.

I was locked out while carrying out registration.

  1. If you enter your ID or other details incorrectly three times in succession, you will automatically be locked out.
  2. If you are locked out, an email will be sent to the email address provided during pre-registration, notifying you that your application has been locked and how to unlock it.
  3. Please unlock your application as instructed in the relevant email.
  4. Alternatively, your application will be automatically unlocked after three hours.
12.
I have completed registration, but I found a mistake in my application form, charts or documents from an institution where I will study overseas. Can I start the registration process again?

  1. You can correct mistakes before the deadline 4 p.m., May 29, 2020. Contact the Secretariat by
    email (byoutai-toiawase@jp.astellas.com) and explain that you wish to start registration again, making sure that you include your Application Number in all correspondence.
  2. The Secretariat will handle the necessary procedure and notify you by email.
    (*) Please be aware that you will not be able to proceed with the following procedure unless you contact the Secretariat.
  3. Once you have received an email from the Secretariat, please make any necessary changes and send all of the required documents, in PDF format, via your Applicant Page (Main Section (PDF), Charts (PDF) (if applicable), documents from institutions where you will study overseas (PDF) (if applicable)).
  4. For details of how to change pre-registered details, please see Question 7 in the Q&A section on "Pre-registration").
  5. You must complete your registration before the deadline 4 p.m., May 29, 2020. After the deadline, registration system will be shut down so that you can not proceed to the registration. Please keep this in your mind.

I found a mistake on the content of Cover page after completing registration. Can I make changes and start the registration process again?

  1. You can correct the mistake before the deadline 4 p.m., May 29, 2020. Contact the Secretariat by
    email (byoutai-toiawase@jp.astellas.com)and explain that you wish to make changes to your content of Cover page.
  2. The Secretariat will handle the necessary procedure and notify you by email.
    (*) Please be aware that you will not be able to proceed with the following procedure unless you contact the Secretariat.
  3. Once you have received an email from the Secretariat, please follow the procedure described under Question 7 in the Q&A section on "Pre-registration" and make any necessary changes to pre-registered details.
  4. Please send all of the required documents, in PDF format, via your Applicant Page (Main Section (PDF), Charts (PDF) (if applicable), documents from institutions where you will study overseas (PDF) (if applicable)).
  5. You must complete your registration before the deadline 4 p.m., May 29, 2020. After the deadline, registration system will be shut down so that you can not proceed to the registration. Please keep this in your mind.

I haven't received acknowledgement of registration.

Acknowledgement of registration will be sent to your authenticated email address, as specified in the email confirming your registered email address. If you are not receiving acknowledgement,
please contact the Secretariat by
email (byoutai-toiawase@jp.astellas.com), making sure that you include your Application Number in all correspondence.

I have completed registration, but would like to withdraw my application.

  1. Contact the Secretariat by email
    byoutai-toiawase@jp.astellas.com) and explain that you wish to withdraw your application, making sure that you include your Application Number in all correspondence.
  2. The Secretariat will handle the necessary procedure and notify you by email when your application has been withdrawn.

I have not received any email.

  1. All correspondence will be sent to the email address you entered as your "contact email address" on the pre-registration form.
  2. It is not permitted to use a mobile phone email address.
  3. If you are not receiving email, please check the following.
    • 3.1. Are you using a free web-based email service?
      • 3.1.1. Please check that emails are not going to your spam folder.
      • 3.1.2. If they are, this is due to spam filters used by your email service provider (Yahoo!, Hotmail, Gmail, etc.). It is not something that we can help with.
      • 3.1.3. If you are using a free web-based email service and are able to change the settings on your account to accept or reject emails, please remove the address "jp.astellas.com" from your spam settings so that you are able to receive emails. Please check with your service provider for details of how to do this.
    • 3.2. Are you using an email address assigned to you by your institution or organization?
      • 3.2.1. Please check that emails are not going to your spam folder. If they are, this is due to spam filters used by your institution or organization. It is not something that we can help with.
      • 3.2.2. Please inform the system administrator at your institution or organization that you wish to receive emails from "jp.astellas.com" but that they are not getting through.

I am having difficulty in uploading PDF files.

Please confirm the following contents.
  1. Please check that the files have been transformed into the PDF.
  2. Please check that the PDF files do not exceed 3MB in total.
  3. Please check with system administrator at your institute or oraganization that no software has been incorporated into your PC which blocks sending out the files.
  4. Please use other software which is different from the one failed to upload the PDF files, if such software is available to you now.
  5. If you continue to experience the difficulty to upload the PDF files, please inform the below to the Secretariat by e-mail
    (byoutai-toiawase@jp.astellas.com).
    • 5.1 About Operation System (OS) you are using now. (example:Windows 7, etc)
    • 5.2 About Browser you are using now. (example: Internet Explore 9, etc)
    • 5.3 Any other information which may be helpful to resolve the ongoing problems (example: Added-on software has been incorporated into the PC, etc)
